Q:

What can I do if I can’t find the item I am trying to buy in Perfect Commerce?

 

A:

Search the item in the “Enter the Search Text” field in Perfect Commerce page. Do not use ‘*’, ‘dashes’, or spaces. Email P2Pizza@ucsf.edu the items that can’t be found to resolve with the search and/or vendor catalog. Buy the items outside of P2P (business as usual).

Q:

What if my department gets a better price on an item than the P2P catalog price?

 

A:

Order the item outside of P2P. Use Special Request when it is rolled out.

Q:

How do I find an item previously ordered?

 

A:

There are several ways to find the item:

a. When creating the requisition, save frequently bought item to Favorites or Templates

b. Use Manage Requisition to view your previously created requisitions

c. Run Requisition Summary Report to view items ordered by other Requesters

d. Look up item by navigating to Purchasing>Requisitions>Review Requisition Information>Requisitions. Search by Requester ID, Requisition ID and Requisition Dates

Q:

How do I know if my requisition is approved or when the purchase order (PO) is dispatched to the vendor?

 

A:

Use Manage Requisition to view the lifespan of the requisition. You can also view the document status to see the PO, Receipt, and Voucher information.

Q:

How will I know if my order is back ordered?

 

A:

P2P catalog vendors are instructed to email or phone the buyer of record (on the PO) if there is a problem with filling the order.

Q:

How do I know if the vendor has received by order?

 

A:

Most vendors provide email confirmation for purchase orders to the buyer of record.

Q:

Can I order controlled substance in P2P?

 

A:

Yes. Requesters must attach the PI signed copy of the P2P Requisition. The requisition will be routed to CPBC for review and approval before issuing PO to the vendor.

Q:

When requesting radioactive materials, where do I enter the Radiation Use Authorization (RUA) number?

 

A:

Type the RUA number in either the header comments box or the line comments. For EDI vendor, call to provide the RUA number because EDI PO does not transmit any comments information. (EDI Vendors: http://cpbc.ucsf.edu/p2p/411_on_p2p_vendors),

Q:

How do I group my lab purchases so I can find them later?

 

A:

Use Requisition Name field to enter specific naming convention that is meaningful to the lab, e.g. Lab Name-PI name, Division-Program name, Fund, etc.

Q:

Can I ship items to different ship-to addresses and how do I find them?

 

A:

Yes. Find ship-to address by the drop-down in Ship-to addresses in requisition line or run the Active Ship-to Addresses report by navigating to eProcurement>Management Reports>Active Ship-to Addresses Report.

Q:

How do I designate a special Ship-to address in my requisition?

 

A:

Use the “Attention” field for special ship to instructions.

Q:

What file types can I attach to the requisition?

 

A:

Use PDF, Microsoft Word, or Excel. Attachments should have proper file extension. Limitation: EDI PO does not send the attachments to the vendor.

Q:

Can I split fund my P2P purchase?

 

A:

Yes. You can split funds in two ways: by percent/quantity or amount either for the entire requisition or at the requisition line level.

Q:

Can I edit or cancel a requisition?

 

A:

Edit - Prior to submitting for approval, you can add items or delete an item on the requisition from the Manage Requisition page. Cancel - before submitting for approval, before it is approved by default approver (DA), or after it has been denied by the DA.
